Opening, Joining, and Reserving a Session

To organize a meeting and start a session, use the File TabCollaborateStart Collaboration command. This will bring up the Collaboration Portal window.

 

There are four choices at the top of the screen:

 

Create a new meeting

 

oAs a meeting organizer, choose this option to open a new, unreserved meeting (Figure 30.1). Enter a Username and Password which are only valid for this session. The Username will be seen by the other attendees. Click Login.

oThe meeting will open and you will be assigned a meeting ID number. In the example in Figure 30.2, the meeting ID number is 873300 and the meeting organizer (TheOrganizer) is listed as the first/only attendee of the meeting. Give the meeting ID to the other people that you want to attend your meeting.

Open a reserved meeting

 

To open a meeting that you have previously reserved, choose this radio button and enter the Meeting ID number and Reservation code (Figure 30.3) that you saved when you reserved the session. Click Login. Your session will open. Provide the meeting ID to the other attendees.

Join a meeting

 

The default option. Choose this radio button if the organizer has provided you with a meeting ID number.

 

Reserve a meeting

 

Use this option to reserve a meeting up to 10 days in advance. Chose this radio button (Figure 30.4), select a date using the drop-down calendar, and click the Make reservation button. You will be assigned a Meeting ID  and a Reservation code. Write down these numbers. You will need them to open the reserved meeting. The meeting ID can be e-mailed to the other participants in advance of the meeting so that they can sign in at the designated time.
